Position Summary

The Northern Virginia Transportation Commission (NVTC) is seeking a part-time office administrative assistant to be the first point of contact for our guests ranging from members of the public to elected officials. The position also provides a broad range of administrative support across the organization. We are looking for a multi-tasker with excellent communication skills and positive, professional demeanor.

Position Description

The Administrative Assistant role combines front desk responsibilities, administrative duties and occasional meeting support.  The work schedule of this position is approximately 8:00 AM to 4:00 PM, Tuesday through Thursday, with additional hours as needed. Alternative schedules may be considered during the hiring process.

This role serves as the first point of contact for visitors and plays a key part in supporting daily office operations.  The ideal candidate is highly organized, detail oriented, and able to manage multiple priorities while working both independently and collaboratively.  Essential functions include:

  • Greet visitors and guests, and direct them to the appropriate staff member
  • Answer, screen, and forward incoming calls and messages
  • Receive, log and distribute mail daily
  • Scan paid vendor invoices and attach files in accounting system
  • Maintain chronological file
  • Provide meeting support, including printing / copying and room setup
  • Assist with off-site storage
  • Assist with record retention and reporting
  • Maintain parking validations, liaison with parking garage manager
  • Assist staff in typing, formatting and distributing documents, presentations and reports
  • Monitor office and kitchen supplies inventory and place orders as needed
  • Maintain common areas including kitchen in a presentable condition
  • Maintain office services including copier and building service calls
  • Assist with employee recruitment tasks, including receiving applications, scheduling and coordinating interviews
  • Assist communications team as needed for public meetings, open houses, etc.

 

Requirements

  • Proven experience as front desk representative, agent or relevant position
  • Excellent verbal and written communication skills
  • Excellent knowledge of MS Office suite (Word, Excel, Outlook)
  • Strong communication skills
  • Good organizational and multi-tasking abilities
  • Problem-solving skills
  • Minimum High School diploma; additional education a plus

 

Additional Information

NVTC’s office is in the Court House area of Arlington, Virginia. Work hours are approximately 8:00 AM to 4:00 PM, Tuesday through Thursday, with additional hours as needed.
