JOB SUMMARY

Our client is hiring a permanent, full-time Grants and Contracts Associate. This position reports directly to the Director of Finance and Administration.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Responsible for developing, implementing, and administering all aspects of the client’s grants, contracts, and compliance monitoring;
  • Support pre-award activities including formatting detailed budget for proposals;
  • Draft contracts, sub awards, and letter of agreements and maintain necessary databases;
  • Maintain grant award files and contracts pertaining to same;
  • Track deliverables in grants/contracts as they relate to payments;
  • Monitor spending of grant funds and assist with budget modifications;
  • Report to staff on a monthly basis about grants ending, reports due to funders, and contracts expiring;
  • In conjunction with the Director of Finance and Administration, ensure financial compliance with federal regulations and foundation guidelines, as applicable;
  • Work closely with funders, subcontractors, and headquarters to ensure accurate and timely billing, payments, and renewal of agreements;
  • Coordinate with project managers in preparing and reporting financial information to funders;
  • Other duties as assigned by the Director of Finance and Administration and Grants and Contracts Manager

  • Must have a minimum of 3 years direct experience managing, reviewing, approving or involvement in federal grants management
  • Knowledge and experience in federal grant reporting requirements including financial status and progress report requirements, submission and review
  • Knowledge and experience in federal grant budget development, review and modification processes and submission requirements
  • Knowledge of federal grant rules and regulations, specifically 2 CFR Part 200 and agency-specific requirements
  • Direct experience managing government and foundation grants and compliance
  • Knowledge, skills, and abilities in understanding federal grant rules and monitoring
  • Knowledge, skills, and abilities in grant-related accounting
  • Strong oral communication skills, including the ability to effectively distill and present complex information in a concise way
  • Knowledge and expertise in private foundation grants and contracts from federal, state and municipal governments is encouraged
  • Strong project management skills and attention to detail
  • Excellent interpersonal skills, maturity, and the ability to work both independently and in a team setting
  • Efficient, organized work style, and an ability to prioritize quickly and confidently while managing multiple deadlines

EDUCATIONAL AND EXPERIENCE REQUIREMENTS

  • Bachelor’s degree required; accounting degree preferred
  • Strong work tenure with 5 years of experience in working with grants management in a non-profit setting, including direct experience in contracts and compliance
  • Experience working with federal awards
  • Ability to handle sensitive information and materials
  • Excellent communication skills, both written and oral
  • Proficient in using Microsoft products, especially Excel
  • Must have basic accounting skills
  • Expertise in using federal grants systems such as Grants.gov, agency grant submission systems, and strong expertise in developing, modifying and performing quality control of basic AND complex Microsoft Excel spreadsheets
  • Training in grants management and federal grant management requirements is a plus

SALARY RANGE: This is a full-time position.Salary is commensurate with experience and includes a competitive benefits package.
