Job Summary
Marine Corps Community Services (MCCS) is looking for the best and brightest to join our Team! Major Duties
Serves as Administrative Specialist within Business and Support Services Division (MR) Performs daily assignments on own initiative and works independently in resolving routine problems referring more complex and unprecedented problems to the supervisor for resolution, determination, or program objective and priority. Performs front desk receptionist duties to include answering the phone, issuing security badges and greeting and referring callers and visitors to appropriate points of contact, and maintaining files for program administration and activities. Receives and delivers messages to staff members. Uses a personal computer and office automation equipment to complete various word-processing, database, and spreadsheet documents. Prints transaction reports for files and verifies information is accurate and complete. Sets up, formats, and prints a variety of reports based on the needs of Business and Support Services Division. Maintains a variety of office logs and suspense files in accordance with governing regulatory criteria. Distributes daily mail to appropriate staff members, compiles data from monthly and semi-annual reports.
Maintains records of registered, certified, special delivery mail, and inputs and monitors data on a variety of mailroom functions on a computer (such as maintaining a log of accountability for mail). Serves as primary point of contact for processing priority mailings such as FEDEX , UPS, registered, certified and next day mail processing. Monitors FEDEX account to include preparing invoices for approval. Assists in approving conference room reservations, logging incoming checks and processing for payments. Maintains up to date contact phone lists, both internally and externally for the installations. Assists Administrative Support Specialists with maintaining office supplies, travel itineraries and other administrative duties as needed.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Performs additional duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.
Qualifications
Two years of administrative experience is preferred. Skill to operate a personal computer and associated peripheral equipment and software. Knowledge of a variety of support functions such as obligating funds, liquidating travel claims; maintaining stock of office supplies. Skill to deal with employees at various levels in the organization and to represent the division with customers external to the organization.
Ability to communicate effectively both orally and in writing. Skill to use tact and provide professional and courteous customer service to personnel in a variety of organizational levels and to external customers. Skill in fact-finding to locate and obtain necessary documentation for projects. Ability to read and interpret specific procedural guides such as instructions, manuals, established policies, and procedures for assigned tasks such as maintaining files, distributing mail, receiving visitors or telephone calls, or ordering supplies, all of which are directly applicable to the work.
