Position Description

XLA is looking for an Office Assistant for a contract to hire position in Arlington, VA (metro accessible). Here is what you will be doing:

  • Create expense reports and attach receipt after expense is submitted.
  • Book travel (air & rail), hotel, and rental car.
  • Reserve an open/enclosed individual room, conference room at different locations.
  • Assist with setting up a meeting or an event:
    • Onsite meetings/events – reserve space, order catering, print materials.
    • Offsite meetings/events – locate and reserve a restaurant that can host the appropriate event, set up space, print materials.
  • Manage calendar:
    • Accept/decline invitations
    • Schedule meetings
  • Order business cards and assist with uploading business cards into Outlook contact folder.
  • Specific tasks including generating weekly reports, printing RFQ’s, scanning and emailing documents, converting files [PDF, Word, etc.], etc.
  • Assist in the application and/or renewal of passports or visas.
  • Client/Employee Relations:
    • Assist visitors/clients from a different state with hotel, restaurant and other related conveniences.
    • Assist with escorting visitors and foreign nationals.
    • Submit required visitation forms for employees and foreign nationals.

 

Requirements

High School Diploma and one year of relevant experience.
