SUMMARY OF POSITION

The Parish Administrator works closely with the Rector (or Senior Pastor/Minister) and staff to ensure the administrative office functions effectively, supporting God’s vision for the church. This role is central to the smooth operation of the parish/congregation, involving financial administration, facilities management, human resources, volunteer coordination, and event support. The Parish Administrator serves as a key point of contact for members, ministry leaders, and external service providers, representing the church with the highest level of Christian professionalism.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Financial and HR Administration:

  • Process incoming bills and prepare check requests for the Bookkeeper.
  • Work with the Treasurer and Bookkeeper to review monthly financial statements prior to presentation to the governing board (e.g., Vestry, Council, Elders).
  • Process bi-monthly payroll and manage HR responsibilities, including other personnel matters.

Operations and Facilities Management:

  • Oversee, schedule, and coordinate repairs, maintenance, and inspections for church property.
  • Research and recommend new equipment purchases.
  • Purchase office, building maintenance, and custodial supplies.
  • Manage security system updates and key requests.
  • Review contracts and process contract renewals/updates for various services in coordination with the Rector (or Senior Pastor/Minister) and governing board.
  • Update the Rector (or Senior Pastor/Minister) and Wardens (or equivalent leadership) on issues related to the church’s physical plant and administrative operations.

Parish/Congregational Life and Event Coordination:

  • Collaborate with clergy, staff, ministry leaders, and volunteers to coordinate materials and logistics for stewardship campaigns, annual meetings, leadership elections, and retreats.
  • Work with the Rector (or Senior Pastor/Minister), staff, and volunteers to organize and coordinate church events.
  • Facilitate communication between clergy, staff, ministry leaders, and members, in coordination with the Communications Director (if applicable) and the Rector (or Senior Pastor/Minister).

Administrative and Volunteer Management:

  • Maintain and manage parish/congregational records, including the membership database and church calendar.
  • Compile the annual Congregational Report.
  • Coordinate building use by various groups and ministries.
  • Initiate and follow through on letters of transfer and other membership requests.
  • Train and manage administrative volunteers.
  • Answer phones and greet members/visitors, or coordinate volunteers to do so.

POSITION QUALIFICATIONS

  • Excellent written and verbal communication skills.
  • Strong computer skills, including proficiency with Google Workspace (G Suite) or similar office productivity suites. Google administration experience is a plus.
  • Basic bookkeeping and payroll skills.
  • Proven ability to work collaboratively within a team environment and as a self-starter.
  • Highly organized with strong attention to detail.
  • Flexible and able to manage multiple tasks and priorities effectively.
  • Ability to lift 25 pounds.

  • Live by the church’s policy of “Biblical Standards of Sexual Morality” (or equivalent guiding principles) as adopted by the governing board.
  • Be committed to regular prayer both personally and for the church.
  • Maintain confidentiality and uphold Christian professionalism at all times.
  • Be committed to a biblical tithe of 10 percent of one’s income to your home church.
