Position Summary
To provide administrative and clerical support for the Neurosurgery Residency Program and the Neurosurgery Chairman.

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

  • Maintains all files for applicants to residency programs, notifies applicants of incomplete files, and arranges resident applicant interviews (requires 3 Saturday interview days) with the Chairman, and processes paperwork necessary for new resident documentation.
  • Works with the GME office to complete necessary forms, surveys, data collection, and inquiries regarding the residency program.
  • Completes and returns the Match list as directed by the Chairman.
  • Maintains resident leave records, resident manual, resident correspondence, and resident personnel files.
  • Processes paperwork for resident yearly promotions, payment of fees for resident Board examinations, CME reimbursement, and books/periodical reimbursements within resident budget and funding guidelines.
  • Serves as the point of contact for Hospitals' Medical Staff Offices for hospital privileges and licenses.
  • Facilitate faculty recruitment.
  • Make travel arrangements for the Chairman, applicants for faculty positions, and guest speakers.
  • Maintain the Chairman's calendar.
  • Schedule meetings for the Chairman, including faculty meetings with all full-time and clinical faculty.
  • Assists in GEM and SOM budget preparation.
  • Arrange printing services, authorize repair and maintenance for machines and equipment, and procure office machines, supplies, equipment, telephone service, and office space.
  • Schedules quarterly faculty meetings, sends notices to all full-time and volunteer faculty.
  • Distributes resident evaluation forms to all full-time and volunteer faculty.
  • Takes meeting minutes and types minutes with distribution to appropriate participants.
  • Arranges for printing services, authorizes repair and maintenance for machines and equipment, and procures office machines, supplies, telephone equipment, etc.
  • Oversees office facility for upkeep and repair, i.e., ceiling tiles, floor, and wall repairs.
  • Orders office supplies.
  • Support the Chairman by typing correspondence, completing surveys, forms, data requests, re-appointments, and renewals of hospital privileges, and typing residency program correspondence.
  • Maintain administrative files, including faculty, staff, and resident personnel files.
  • Open, sort, and appropriately deal with Chairman's mail.

Minimum Qualifications

Education

  • A Bachelor's degree or an equivalent combination of training and experience

Experience

  • A minimum of 3 years of progressively responsible secretarial and administrative office management experience.

Physical Requirements

  • Stand, walk, and reach above the shoulder frequently in a clinical setting.
  • Must be able to occasionally lift and carry or push and pull up to 100 lbs. as part of the role
  • Regularly exposed to healthcare settings that may require personal protective equipment
  • Requires manual dexterity to operate a computer keyboard, calculator, copier machine, and other equipment.
