Suburban Animal Hospital is apart of the National Veterinary Association and is currently seeking a Veterinary Receptionists Co-Lead to join our busy, progressive, and fast-paced 6 doctor practice. Suburban Animal Hospital is currently providing curbside service to clients due to COVID-19.

Responsibilities include:

  • Provide strong leadership and supervision to the customer care team.
  • Direct the flow of traffic to ensure appointments are running on time.
  • Provide support and assistance in the area of discipline/ commendations.
  • Assist with developing ideas to improve staff morale. Receptionists need to know that they are vital to the operation of the hospital and are appreciated.
  • Provide instruction and training to the receptionists. (emphasis on customer service and client education)
  • Assist with receptionist employee evaluations.
  • Mediate any receptionist interpersonal problems.
  • Meet monthly with Assistant Hospital manager, Practice manager, other department heads to discuss problems/ improvements.
  • Whenever needed, assist with last minute changes to employee scheduling.
  • Implement and ensure all new and old policies/procedures are followed.
  • In charge of the hospital’s appearance to the public. (i.e. outside grounds, waiting room, retail area)
  • Has the authority to “make right” as deemed fair to ensure all clients leave happy.
  • Handle disgruntled clients according to the hospital's values on maintaining our reputation.
  • Verify all EOD (End of Day Reports).
  • Receive and place calls to clients for the purpose of scheduling.

  • Prioritize multiple tasks in a calm, organized manner.
  • Maintain proper documentation through client and pet records, i.e. referral documentation, previous medical history received, etc.
  • Assist all clients by providing necessary instructions, information and invoices, dispense prescription items per the veterinarian’s instructions, and schedule all future appointments.
  • Utilize hospital computer systems (AVIMARK) to document medical records and communicate with clients and teammates.
  • Manage the financial needs of the hospital by maintaining accurate balances through collection of client transactions, following all cash and credit card handling procedures, and following proper opening and closing procedures.
  • Excellent customer service skills and an exceptional level of communication in a professional manner.
  • Advocate for pets through client education on preventative care, pet health needs, treatment recommendations and all other hospital services/procedures.
  • Maintain a positive attitude in all interactions with clients, pets and other teammates.
  • Demonstrate ability to show empathy toward clients and treat pets with compassion and respect.
